We're looking for a Finance and Administation Manager to join our fantastic team at Disability Arts Cymru. Your work will directly contribute to producing world class disability arts and making the Wales a fairer place for disabled and/or Deaf people.

Overview of duties

As Finance and Administration Manager, you will work closely with the senior leadership team and board of trustees to:

  • Prepare year end accounts for submission to Independent Examiners.

  • Monitor budgets and prepare finance reports.

  • Maintain Xero accounts package including: Processing sales and purchase invoices, staff expenses claims and reconciling bank statements.

  • Oversee NEST pension scheme, ensuring monthly payments are reported and submitted.

  • Prepare annual budget for ACW and submit budgets for quarterly reports.

  • Monitor cashflow and make transfers between accounts.

  • Maintain records of Gift Aid transactions and submit annual claim to HMRC.

  • Liaise with service providers and obtain quotes/tenders for services.

  • Oversee DAC membership: annual renewal and processing new members.

  • Alongside safeguarding officer, ensure all Staff, Board and Volunteer DBS records are up to date.

  • Maintain records of Trustees and ensure Board operates in line with the organisations constitution.

  • Issue and maintain Conflict of Interest forms and Equalities information annually.

  • Submit annual return to charity commission.

  • Assist with preparation of information for Board and other Trustee meetings.

  • Assist with preparation of annual Trustee report, annual report to members.

  • Collate information and issue invitations to AGM.

  • Oversee schedule of policy reviews, liaise with HR to advise. Prepare policies for review at Board meetings. Update staff handbook and review schedule.

  • Manage ACW annual survey along with senior leadership and all staff.

  • Act as Data Controller for the organisation.

Knowledge, skills and experience

Desirable:

Relevant experience and demonstrable knowledge in delivering finance and administration support for a third sector organisation.

Welsh speaker or someone with a willingness to learn.

Essential:

Understanding of the principles of book keeping and how to deliver financial reports.

Knowledge of charity processes including preparing annual reports and working with a board of trustees.

Experience in handling sensitive information and a working knowledge of GDPR.

Effective written and verbal communications skills with the ability work effectively with all different types people at all levels.

Effective at organising workloads with an ability to multi-task and manage simultaneous projects with sometimes conflicting priorities.

Relevant experience in Payroll preparation including HMRC submissions and dealing with NEST pensions.

Advanced IT skills including MS Office and accounting/payroll software (preferably Xero)

A clear understanding of equality and diversity and commitment to working for the rights of disabled and/or Deaf people.
